Responding to a compliance breach
3.1 Investigation and evidence gathering
When you identify a potential issue:
- Capture evidence: screenshots, URLs, and transaction data
- Cross-check against your internal systems
- Document your findings clearly
3.2 Escalation process
Once a potential breach has been validated, follow a structured escalation process to ensure timely and consistent resolution.
Recommended approach:
- Submit the violation via the Commission Factory platform using the Compliance Violation Tool
- Notify the affiliate where appropriate, in line with your program terms
- Request corrective action and supporting clarification where required
Using the Compliance Violation Tool
The in-platform Compliance Violation Tool is the primary method for reporting and managing breaches.
- Gather evidence: Before submitting a violation, make sure you have clear supporting evidence. This may include screenshots of activity, URLs or placements, and transaction or reporting data.
- Locate the affiliate: Navigate to Partners > Affiliates in the platform. Search for the affiliate and select View Affiliate to access their profile.
- Submit the violation: Go to Manage Application and select Report a Violation. Attach all supporting evidence and submit. Once submitted, your case will be reviewed by the Commission Factory Compliance Team.
Optional: remove the affiliate
Where the breach warrants removal:
- Navigate to Partners > Affiliates
- Locate the affiliate
- Select Remove
The affiliate will be placed "On Notice", which initiates a 7-day removal period.
Optional: void impacted transactions
In cases of confirmed non-compliant activity, assess whether impacted transactions should be voided.
- Voiding transactions is your responsibility as the advertiser
- Transactions must be voided before they are locked
- Voids are managed via Reporting > Transactions
If transactions aren't voided, they remain eligible for commission payout. Communicate any void decisions clearly to support via the platform.
